Responsibilities
The duties of the Receptionist include, but are not limited to:
- Greet guests and visitors, manage sign-in book, prepare refreshments;
- Answer intercom and open the door to visitors;
- Responsible for reception area, tidying, watering plants, organizing magazines etc.;
- Answer and direct phone calls taking messages, cover the reception desk;
- Manage meeting room calendar, set-up room for meetings, order catering, tidy after use;
- Purchase stationery and cleaning materials as and when required along with replenishing the kitchen with refreshments, fruit and biscuits;
- Monitor and record expenditures and office inventory;
- Assist with all aspects of administrative management, directory maintenance, logistics, equipment and storage;
- Schedule and coordinate meetings, interviews, events and other similar activities, book travel arrangements, provide general support to visitors;
- Send out and receive email, mail and packages;
- Prepare business correspondence, agendas, and presentations;
- Maintain the filing system; assist staff with paper & electronic filing when required;
- Provide assistance to the accounts team as and when required;
- Operate a range of office IT such as photocopiers, computers, VC equipment, meeting room media; ;
- Maintain professional and technical knowledge by attending educational workshops;
- Handle sensitive information in a confidential manner;
- Assist the Executive Assistant with other duties where required
Personal Specifications
The successful candidate will possess the following traits:
- GCSE Math’s & English (or equivalent);
- Recognition of the importance of relationships and the ability to build these across the organisation;
- Be presentable, polite and professional;
- Have a full working knowledge of all Microsoft packages including Excel, Word and Outlook;
- Be confident and resilient;
- Work to own initiative and also work well in a team;
- Be approachable and have a friendly demeanor;
- Be organised and able to prioritise own workload;
- Excellent communication skills
